Course Submission, Edit and Delisting

Overview of the process and timeline

Course Submission (SSG-Funded)

  • Course Coordinator create new CET course in Curriculum Management System (CMS) with all the necessary information as shown in the guide (Short course Guide, PC/APC Guide)
    • Draft will be automatically routed to the Department Admin and Faculty Admin for approval
    • Department and Faculty Admin to check and set status to “SCALE CQA”
  • CET units are required to send the CMS link to the SCALE Quality Management (QM) team
    • CET units are advised to submit the completed documents by the 3rd week of each month.
      • Courses must be vetted and approved by the SCALE QM team ahead of the due date (first day of the month) for the circular.
    • Submission is to be done via CMS and followed up with an email to the SCALE QM team (slebox45@nus.edu.sg)
      • Subject: Submission for MMM YYYY Circular
      • To be included in the email:
        • Course Title
        • Type of Course (Funded or not funded)
        • Proposed trainer and CV
        • Breakeven number
        • CMS link to the course
      • Academic modules must be first approved by Board of Graduate Studies
        • Once approved, Course Submission Template must be submitted via email to slebox45@nus.edu.sg
        • Subject: Academic Courses for SSG-Funding
        • SSG-Funded Academic Courses Template
        • Academic modules must be submitted through CMS under the ‘Course’ template.
        • Excel file must include link to CMS
      • CET units to take note of the following:
        • Use of abbreviations must be accompanied by the full form on the first use in every field
        • Must not exceed 150-character limit in the Target Job Roles category
        • Must not exceed 2000-character limit each in Course Description and Learning Outcomes category
        • Assessment Plan must be detailed and must indicate the respective course objective is being assessed
        • CET units to do a spell check before uploading onto CMS

Course Approval

  • NUS Course Approval
    • SCALE QM team to draft the circular and submit for approval
    • SCALE IEQ’s Assistant Dean and Associate Director to vet the circular before sending it to Provost Office
    • Upon approval by Dean /APVO, PVO will circulate to the CET Coordination Committee for approval.
    • PVO will notify the stakeholders of the outcome of the application.
    • This process may take approximately 1 month depending on the number of courses and any concerns raised by schools to PVO. It may take longer depending on the type of course and any further queries from SSG.
  • SSG Course Approval
    • SCALE QM team proceeds to submit the proposal to SSG via TPGateway for funding approval
      • This process is estimated to take at least 2 calendar months
      • The approval process may exceed the 2 calendar months should there be further queries from SSG
    • CET units to take note of the following:
      • Should there be any follow-up queries from SSG, the SCALE QM team will communicate the queries to CET units. It is recommended that CET units reply within 3 working days, failing which, the course application will be deemed as withdrawn.
      • SSG will reset the application queue in the event if any submission is returned for edits or clarifications. This will result in a longer approval process.
    • SCALE QM team will update the TGS number and other SSG information on CMS and set the course’s status to “Publish Requested”
    • Updates will be automatically synced to L3AP. Should there be issues with syncing, the L3AP SCALE QM team will inform SCALE L3DS (after office hours)

Course Editing

For Academic Modules, CET units are to enter changes into CMS for approval by the faculty and relevant Board, and also highlight changes in yellow in the SSG-Funded Academic Courses Template

    • Changes must first be keyed into CMS and approved at the university level by the appropriate body such as the Board of Graduate Studies.
    • Send the SSG-Funded Academic Courses template file and the CMS link to SCALE LET Course Quality email (slebox45@nus.edu.sg) and CC tan@nus.edu.sg and jeremyg@nus.edu.sg)
    • Include a summary of changes in the email

SSG Funded Short Courses

  • CET units are to modify the information in CMS (In-semester Amendment)
    • Make updates in the CMS form
    • Send to Faculty/ Department Admin for Approval
    • Faculty/Department Admin to check and set status to “SCALE CQA”
  • Collate the information according to the table below and send to the SCALE QM team:

  • SCALE QM team to review the changes and apprise PVO. With PVO’s endorsement, SCALE QM will then submit an edit request on TPGateway
  • Once SSG has approved the course edit on TPGateway, SCALE QM team will set the course’s status to “Approved” and then “Publish Requested” in CMS.
  • Updates will be automatically synced to L3AP
  • SCALE QM team will update the CET unit on the approval

Blended Learning

  • Should CET units wish to convert a programme to a Blended Learning format, collate the information according to the table below and send to the SCALE QM team:

To Withdraw from SSG Funding AND NUS Course Catalogue

Courses will no longer be offered as an SSG-funded course or be featured in the NUS course catalogue.

If the CET unit wishes to reoffer, the course will have to create a new entry in CMS and go through the approval process again i.e., CET Circular and SSG Approval for SSG Funded Courses

CET units to complete Delisting Checklist Form and send it to the SCALE QM team:

SCALE QM team to check for eligibility. The course must not have any future runs scheduled for it to meet the criteria for delisting.

  • If there are no outstanding issues:
    • CET unit can go ahead to delist the course on CMS by performing a “New Discontinuation Amendment”
    • Send to Faculty/Department Admin for approval
    • Faculty/Department Admin to set status to “SCALE CQA / SCALE GM” (for short courses and academic courses respectively)
    • SCALE QM team to raise and submit a withdrawal request on TPGateway
    • This process will take approximately one month, and all parties will be informed in writing on the outcome
    • Upon SSG’s approval, SCALE QM team will update the CET unit and set the course status to “Withdrawn” on CMS
    • Updates will be automatically synchronized on L3AP
  • If there are outstanding issues:
    • SCALE QM team will advise CET units on the necessary steps to be completed and to restart the delisting application

Non-SSG Funded Courses

  • Update in CMS to deactivate the course, which effectively means that the course cannot be run anymore.
    • If the CET unit wishes to revive the course, the course must go through the approval process again
    • Send email to inform SCALE QM team of the deactivation request in CMS

To withdraw course from SSG-funding

Course will be withdrawn from SSG funding but can continue to run as a non-funded option in NUS

If the CET Units wishes to reoffer course a SSG funded course, they will need to update the entry to SSG-funded. The course may need to go through the CET Committee Circular before it can be resubmitted to SSG as a new course application.

  • If there are no outstanding issues:
    • CET unit can go ahead to defund the course on CMS by changing the short course option to “Non SSG-funded”
    • Send to Faculty/Department Admin for approval
    • Faculty/Department Admin to set status to “Approved”
    • SCALE QM team to raise and submit a withdrawal request on TPGateway
    • This process will take approximately one month, and all parties will be informed in writing on the outcome
    • Upon SSG’s approval, SCALE QM team will update the CET unit and set the course status to “Approved” on CMS
    • Updates will be automatically synced on L3AP
  • If there are outstanding issues:
    • SCALE QM team will advise CET units on the necessary steps to be completed and to restart the delisting application
